Description

Unique opportunity to join a growing Software Configuration Management group in a global software organization.

Responsibilities include the deployment of software into a 24/7 high availability production environment and automation of complex tasks. Improves existing build and deployment processes. Evaluates, implements and administers configuration management tools for the application and services areas. Works closely with developers and services staff in release, change, incident and problem management activities. Job/skill requirements

· Deploying application software into a distributed environment.

· Experience automating builds and processes using scripting languages.

· Working knowledge of source control or configuration management tools, e.g. VSS, ClearCase/Quest, CVS, PVCS

· Preferred experience working in distributed and Websphere environments

· Knowledge of Harvest or Endevor is a plus.

Position Overview

The Recruitment Specialist plays a key role supporting the ongoing growth of the operation in New York & Jersey City.

The objective of this is to facilitate & develop the recruitment process within the company along with all the associated administration. Develop and implement a cohesive, effective and tangible recruitment policy to include the process from application to acceptance. Work with the varying management teams on recruitment drives and initiatives.

Experiences

§ 5 years post graduation Human Resources experience with at least 3 years in a high volume financial services and technical recruitment

§ Demonstrated experience of implementing recruiting initiatives to improve current process

§ Strong business/customer service orientation essential.

§ Proven working knowledge of US employment law, policies, affirmative action and diversity especially as they pertain to recruitment and selection

§ Knowledge and capability to ensure compliance with federal and state regulations particularly as they pertain to recruitment and selection

Main Job Functions/Tasks

Recruitment & Resource Planning

· Work with the existing HR team and senior management to identify all current and future recruitment needs.

· Work with the individual business managers to identify/define their specific recruitment needs.

· Develop & implement a recruitment policy to incorporate best practices adhering to all legislative requirements.

· Research market to ensure compensation and benefits are consistent with the street

· Manage the full recruitment process, which is not limited to:

  • Research cost-savings sources for recruitment and increase direct applications
  • (job fairs, internet job boards, cold calling, college recruitment)
  • Develop existing and create new relationships with all relevant universities/colleges (to include overseas); organize consistent flow of work placements.
  • Organize and attend recruitment fairs, conduct ‘open evening’s’
  • Develop and maintain relationships with outside vendors and remain consistent with Company guidelines
  • Manage the advertising process to include;

v Update/Maintain all on line advertisements on a daily basis

v Research and recommend new innovative forms of cost efficient advertising

v Develop advertisements for print media/mail shots etc

v Exhaust all opportunities for free advertising e.g. college notice boards

o Accept all applications and acknowledge within 48 hours

o Organize all interviews, confirming with candidates and business managers

  • Conduct interviews in NY and NJ

o Record the interview times, dates and interviewers

o Ensure all appropriate recruitment documentation is complete in a timely fashion

o Contact all interviewed candidates within 24 hours of interview for feedback

o Offer/decline candidates as appropriate (thank you letters, follow up with recruitment consultancies) – once approved

o Manage the work application/visa process for all non US nationals where appropriate

o Ensure contracts are signed prior to start date

o Ensuring all references are collected in a timely fashion

o Ensure new employees are assigned to the appropriate team with his/her desktop and access levels set up

o Record all invoices/costs relevant to recruitment

o Prepare and send offer letters to candidates

o Maintain a record and follow up with recruiters on status of candidates

o Prepare thank you no thank you letters for candidates

· Work with global HR to implement the recruitment system.

· Ensure all administration is completed in a timely fashion, to include

v Intake/Exit forms

v Security card access

v New Starter packs

v All new employee’s entered onto the HR system within the first three days of commencing employment

v All new employee files created within first week of commencing

v All ad-hoc administration duties

· Work with the HR team to ensure all HR objectives are met.

· All ad-hoc duties/projects assigned within the HR function.

Reporting

§ Report to the Managing Director and HR Manager key statistics and KPI’s relating to NY & JC Recruitment activity

§ Provide feedback to the Managing Director and HR Manager Ireland from time to time on the Recruitment process

§ Weekly written report of key Recruitment statistics

HR System

§ Utilize the recruitment module on the HR system to develop and maintain a database of candidates and to assist with legislative compliance in relation to recruitment & selection

§ Ensure the HR system (Source HR) – Recruitment Module and data relating to new starts is kept up to date at all times and ensure timely delivery of Business Intelligence Reports from the system to the MD and HR Manager as required.

Service Levels

§ All requests from Recruiting Managers acknowledged within 24 hours indicating to manager when the position will be posted and the proposed recruitment sources

§ At minimum weekly updates to Recruiting Managers with a status report pertaining to his/her vacancies

§ Positions filled within (not exceeding) the salary range indicated by the Recruiting Manager

§ Monthly Recruitment Activity Report distributed to Managing Director & HR Manager

§ Accurate and timely update of Recruitment Module on the HR System

HR Generalist--NYC & Jersey City $80000 - $90000 + bonus (25% fee)



Position Overview

This is a senior HR generalist role supporting the continued growth of the operation in New York & Jersey City which has grown to 374 employees.

Reporting to the Human Resources Manager and servicing the staff in two locations (i.e. JC & NY), the Senior HR Specialist will ensure HR services and employee relations are delivered proactively inline with highest levels of best practice HR and in an accessible and professional style to foster employee engagement and retention. The Senior HR Specialist will also provide cover for the HR Manager as and when required and will participate in national and Global HR projects and initiatives drawing on a proven track record in a similar role in a fast paced and growing multinational organization.

Experience

§ 5 years post graduation Human Resources experience with at least 3 years in a similar role

§ Solid understanding of Human Resources functional areas and practices

§ Must be able to demonstrate prior capabilities in a across the spectrum of HR (compensation, employee relations, performance management, training)

§ Experience in preparing and conducting new hire orientation

§ Start up and/or Financial Services experience is very desirable

§ Strong business/customer service orientation essential.

§ Lease with the Recruitment Specialist to ensure all sourcing activities are concluded in a timely manner and with quality candidates.

§ Participate in the interview process for all positions in NY & JC as and when required.

§ Supporting the HR Manager on projects relating to Compensation & Benefits, Performance Planning & Review, Employee Engagement & Retention and Talent Management.

Performance Management & Review

§ Support and coordinate the bi-annual Performance Planning & Review Process

Communications

§ Partner with the HR Manager to develop and implement communications processes in NY & JC to foster and enhance positive employee relations and retention

§ Communicate all relevant issues pertaining to employee relations, HR policy, local employment market, recruitment etc in a timely and proactive manner to the HR Manager

§ Communicate key location statistics to employees (following review and approval by Managing Director and HR Manager

§ Work closely with Managing Director and HR Manager to ensure all staff understand the key performance measures for his/her role

§ Attend HR team meetings

Absence Management

§ Work closely with the Managing Director, local Management and HR Manager to record, monitor and address issues that may arise relating to absence management

§ Be the point of contact for the Employee Assistance Program (EAP) in NY & JC

Benchmarking

§ Develop the networks, systems and contacts to keep up to date with all aspects of HR as they pertain to compensation and benefits, recruitment and retention in the NY & JC market.

Training & Development

§ Participate in and coordinate employee induction

§ Lease with Training Administration as appropriate relating to new starts

§ Deliver HR related soft skills training to employees and managers as and when required

HR Policies & Procedures

§ Ensure implementation, application and compliance with all HR Policies & Procedures

§ Ensure the effective administration of all HR functions in response to Management and Employee needs within NY & JC`

HR Projects

§ Proactively and positively participate in various company wide projects as part of the HR team

§ Implement HR initiatives in support of NY & JC Business & Strategic Plans

Reporting

§ Report to the Managing Director and HR Manager key statistics and KPI’s relating to NY & JC HR activity

§ Provide feedback to the Managing Director and HR Manager Ireland on Exit interview comments

§ Weekly written report of key HR statistics relating to recruitment, turnover, absenteeism

§ Ensure the HR system (Source HR) is kept up to date at all times and ensure timely delivery of Business Intelligence Reports from the system to the MD and HR Manager as required.

Termination & Resignation

§ Work closely with overseas HR Manager and Managing Director to ensure employees termination or resignation from the Company are managed in compliance with employment law

§ Conduct exit interviews

§ Train employees on Empowerment module

§ Support the Online Performance Planning & Review process
